Welcome to the VSME Report Tool.

In this manual you will find detailed descriptions and help on the functions of the VSME Report Tool.

Structure of the tool:

The dashboard:

User settings

At the top left you will find your e-mail address. Click on your e-mail address to open a drop-down menu with all user settings: Profile, Subscription, Billing portal and Logout.

Profile

Under Profile, you will find the account information with which you have logged in or registered in the tool. This information and data can be updated at any time. To do this, simply enter the desired change in the respective input field and then click on the "Save" button to confirm the change.

You will find the option to update your current password directly under the account information. To do this, enter your current password and immediately below you have the option of defining a new password. Then confirm the new password by entering it again and click on "Save" to complete the password change.

Subscription

Under Subscription, you will find an overview of all invoices that have been generated through the use of the tool. The invoices are listed chronologically, with the date and price visible at a glance.

In addition, each invoice can be downloaded individually as a PDF file via the "Download" button and then printed out.

Invoice portal

Click on Billing portal to go directly to the payment provider's overview page. Here you can cancel your current subscription, update your payment method, view billing information and check your billing history.

At the top you will find the current plan (your subscription), as well as the subscription renewal date and the payment method. At the top right you will find the button to cancel the subscription.

Under Payment method you can add, delete and set payment methods as default.

Under Billing information you will find the e-mail address used and the option to update the information. The name, e-mail address, address and telephone number can be entered or changed here.

Under Invoice history, you will find an overview of all invoices that have been created through the use of the tool. The invoices are listed chronologically, with the date and price visible at a glance. By clicking on an invoice, you can either download the payment receipt or the invoice as a PDF file.

Logout

Click on Logout to log out of the report tool. You can then log in again with your access data (e-mail address and password) to continue working on your report.

Settings

In the "Settings" area, you define the design of your report. Here you can select which color scheme the report should have, specify the title and the reporting year of the report, set a logo and define a background image for the cover page.

Define basic display options to make the report appealing and professional:

  • Color scheme: Choose a suitable color scheme that matches the corporate image.
  • Title: Enter a concise title, e.g. "Sustainability Report 2023", to identify the report.
  • Logo: Upload the company logo to personalize the report and create recognition.
  • Reporting year: Define the reporting year to clarify the time reference of the data.
  • Background image: Choose an image that visually supports the topic of the report.

These settings ensure a clear structure and a professional design. The following report complies with the VSME standards of the basic module.

Organization

The "Organization" section provides both a personal introduction to the report and a compact presentation of the company, including its long-term goals.

Foreword

The foreword provides a personal introduction to the report and offers an opportunity for the management to emphasize the importance of sustainability for the company. For example, it can begin with a pithy quote from the CEO that illustrates the company's stance.

Company description

This section provides a brief and compact introduction to the company. It serves to provide a clear overview to familiarize the reader with the most important facts.

Vision

The long-term goals can be described in the "Vision" section. Here, a possible future can be outlined in which all the projects in the report have been realized and implemented. It is therefore an outlook on where we are heading.

Basics

Basic information on the report is provided in the "Basics" section.

B1 Basics for the creation

Here you specify which option was selected according to VSME standards (in this case it is always OPTION A Basic module), at which reporting level the report is created and, if available, a list of subsidiaries can be specified.

B2 Practices aimed at a more sustainable economy

If available, specific practices aimed at a transition to a more sustainable economy can be briefly described here. This area includes, for example, initiatives to improve working conditions or cooperation with universities in relation to sustainability projects.

Note: Practices in this context do not include philanthropic activities (e.g. donations), but concrete operational measures.

Environment

Basic key figures on the environment are given here.

Points B3 to B7 of the VSME standards typically cover topics such as emissions management, energy conservation, resource conservation, waste management and sustainable supply chains. Make sure that your inputs in the ReportAI clearly formulate these aspects in order to obtain precise results.

Social

Basic key figures on social aspects are given here.

Items B8 to B10 cover essential social topics such as diversity, employee development, safety and social commitment. Clear and detailed ReportAI inputs enable precise and meaningful results.

Governance

Basic key figures on corporate governance are given here.

Point B11 of the VSME standards focuses on transparent and responsible corporate governance. Clear inputs make it easier for the AI to create texts that are structured as well as legally and ethically sound.

ReportAI

With our ReportAI, you can effortlessly create professionally formulated texts for your reports. This AI-supported tool helps you to generate content quickly and accurately and transfer it directly into your report.

Step-by-step instructions:

  1. Enter text request:
    Open the "ReportAI" section and enter a description of what you need in your report in the input field. For example: "Describe employee development and training programs."
  2. Have AI text generated:
    After entering your request, the AI creates a suitable, professionally formulated text within a few seconds.
  3. Check preview:
    Check the generated text. If adjustments are necessary, you can simply use the input field again.
  4. Transfer text:
    If you are satisfied, click on the "Transfer to report" button. The text is automatically inserted at the desired position in the report.

If you require further changes, you can adapt the transferred text manually or ask the AI to create alternative suggestions.
